POSSIBILITY OF EMPLOYMENT – SCHOOL SECRETARY

Riverside School Board is seeking available individuals to replace personnel as SCHOOL SECRETARY, on call. The hiring could eventually result in a regular position.

NATURE OF WORK:    The principal and customary work of employment consists in assisting one or more persons in carrying out secretarial tasks. As well as ensuring, as instructed or in conjunction with others, the smooth operation of the school or centre by assuming the responsibility and coordination of the administrative tasks or school or adult education or vocational training centre secretaries.

CHARACTERISTIC FUNCTIONS:         Plans and organizes secretarial work so that the school complies with administrative obligations, carries out the follow-up and the appropriate reminders. Responds to requests and complaints and tries to resolve problems within his or her competence; provides information on the decisions and directives normally applicable to the problems reported to him or her. Compiles the necessary information for the preparation of the budget, participates in preparing it, monitors it and prepares reports on the budget balances; keeps the accounting books of the school and of extracurricular activities, pays invoices and makes bank deposits; reconciles accounts, keeps a petty cash and collects funds raised during fund-raising events. Compiles requests for materials from school staff, verifies budget allocations and prices with suppliers; purchases goods or fills out purchase orders as well as receives and distributes goods. Prepares the list of teachers available for substitution and ensures that absent employees are replaced; responsible for keeping registers and files on student registration, staff and student absences, temporary staff payroll, report cards, declaration of student enrolment and student transportation. Verifies the necessary data, enters it, produces and forwards reports and fills out forms. Responds to students’ needs; if necessary administers first aid. Handles the mail, prepares a draft response, forwards it to the person concerned and ensures the follow-up; prepares a summary of complicated problems and issues before forwarding them to the person concerned. Drafts, from brief notes, memorandums, newsletters or bulletins; takes part in setting up a filing system; archives school documents according to the policy in effect. Uses Word, Excel, Dofin, Achat and GPI. May be required to maintain the school website and coordinate work of the support staff. If need be, performs any other related duties.

REQUIRED QUALIFICATIONS:             Diploma of Vocational Studies (DVS) in secretarial studies or Secondary School Diploma or diploma or attestation of studies recognized as equivalent and four (4) years of pertinent experience.

OTHER REQUIREMENTS:       Basic knowledge of office automation. Excellent English and French language skills (written and spoken). Certificate dated no more than three (3) years attesting to the successful completion of a standard first aid course of a minimum eight (8) hour duration or a refresher course of a minimum six (6) hour duration updating the skills acquired in the eight (8) hour course.
